TEAM
The Workplace Operations team offers the working environment and services that provide a concept of agile and empiricism to meet our company’s objectives; we strive to create a platform where our company and employees can grow and thrive together. To support the hybrid work approach in our company effectively, the Workplace Operations team takes an assessment between the office usages and the business requirements as a trusted professional advisor from a real estate and facilities perspective.

WHO ARE WE LOOKING FOR?
We are looking for a manager who can actively support the business and product of a rapidly growing company by burning the responsibility of creating a fresh working environment and platform. Someone who can work cross-functionally with administration and engineers to think beyond the limitations of current facility management and office operations frameworks to create a fresh, new workplace. An outstanding communicator who possesses the ability to communicate with all employees both inside and outside the company.

    • Work with Finance closely to manage the facilities budget for the headquarters office.
    • Collaborate cross-functionally with internal departments (IT, HR, Finance, Legal, Communications & Marketing etc.) to create multi-site strategies, policies, and processes to ensure a consistent employee experience and operational efficiencies.
    • Ability to review & understand lease terms as it relates to operations of each facility and impacts on multi-site policies & procedures.
    • Work closely with FP&A manager(s) to manage budget and spend, ensuring the right services at the right time & at the right spend.
    • Manage, streamline & develop workflows for all the day-to-day Facilities Operations at each site including repairs and maintenance, janitorial, security, utilities, and property services.
    • Work with property management & landlords to manage/maintain all specialty building services; HVAC, life safety, plumbing, electrical, etc.
    • Maintain good working relationships with our landlords and perform lease management including working with other Operations teams (Legal, Finance, IT, etc…) as needed.
    • Work closely with Construction & Design Manager(s) to provide detailed inputs, requirements & expertise as it relates to Facilities Operations for all new Builds (ie. layouts for shipping & receiving, break rooms & equipment, copy & supply areas, storage etc.)
    • Manage vendor(s) and Property Management relationships
    • Communicate with vendors and engineers to ensure facilities' expectations are aligned.
    • Continually develop & maintain vendor selections, scope & contracts.
    • Manage Move, Add, and Change works in the premises.
    • Manage a diverse team leveraging Woven by Toyota Values so that each employee is empowered to produce his or her best work.
    • 8+ years of experience in Facilities, Construction, and Project Management.
    • Proven facilities management experience. Specifically building Software R&D facilities is strongly preferred.
    • Excellent communication and relationship management experience.
    • Experience negotiating with and managing subcontractors, vendors, landlords, property managers, etc.
    • Innovative and able to think outside of box to solve complex issues.
    • Strong comfort with a high-growth company, where everyone is encouraged to participate in and contribute across all teams.
    • Recognized professional qualifications in facilities management area.
    • Ability to manage and collaborate with cross-functional teams to deliver outcomes in the agile business environment.
    • Experience developing and managing facilities management budgets.
    • Excellent financial, contract management, purchasing and leadership skills.
